Are you serious about planning for integrating you work units' paper and
electronic records including E-mail? Will you be part of a Pilot work-unit team
registering incoming or outgoing items and possibly attaching the electronic
documents that can be shared? Is it time to move some paper files and records
to other responsible staff or to the storage areas? Would you like to use a bar
code reader to track folder records you have "lent" to other staff or work
units? If you answered yes to any of the above, you should register for RAMP-TRIM
Training
Above are the Records and Archive Management Programme [RAMP-TRIM] Training
dates for June & July. Work units which have listed their main record series [groups of records] using RAMP-TRIM are in a better position when planning for the integration, sharing,
transferring and securing paper or electronic records. If you plan on using RAMP-TRIM while cleaning up, reorganizing or estimating your equivalent volumes of electronic records you need to schedule training now.
Note: People who have previously taken Part 1 and 2 are welcome to retake, especially if there was a break between training and actually listing or reorganizing work unit files. The new session Part 3, on Correspondence Action Tracking, is especially for those who have already taken Part 1. Bring a sample of your work to Part 2 and Part 3 to use for the data entry. After August the next training will be Oct/Nov 2002.

Note for staff Ready to Transfer Boxes:
For those staff with folders/boxes ready to transfer to off-site storage locations,
- Confirm Shipment and Accession number appears on data for each box
- Print and place the big paper labels on each end of the boxes;
- Alert Brian Myers in DFAM/DRU who will electronically assign locations to each box;
(after receiving confirmation that specific locations are assigned)
- Print your small location labels and place securely on the bottom of box labels
(don't cover the bar code)
- Use special protection tape to cover labels on both ends of the boxes.
- Alert DRU the labels are covered and shipment is ready for transfer
