Tasks Completed by F. Diers (Entium Project Manager):

§          Reviewed Interview summaries conducted to date.

§          Prepared and issued project status report.

Tasks Completed by Entium Project Team:

During the week at the UN members of the Entium project team participated in interviews with IT and RM functions from UNFPA and UNICEF.  Based on additional meetings with D. Mueller, A. Keefe, and T. Newton, the following tasks were accomplished:

·          Adhiratha Keefe and Tony Newton will participate in the first set of Business Unit Interviews to be scheduled during the week of December 6, 2004.  The results of these first interviews will be reviewed to determine if the questionnaire meets the project objectives for data collection within UNPOs user communities.

·          Dhurjati and Adhiratha will review the records sampling objective and meet with the Entium team on November 16, 2004 to finalize this activity in order for Sean to start the sampling process.

·          All completed interview questionnaires and supporting documents will be electronically sent to Robert Turner for distribution to the Entium team.  Dhurjati will also post all documents on the WGARM Web Site.  As of this week we have received four questionnaires from (RM) and five UNFPA supporting documents.

·          Addressed the fact that interviews for UNOPS, (IT) and (RM) will be held on November 16th in the morning and UNICEF, (IT) interview in the afternoon.  This completes the (IT) and (RM) interviews activity and the Entium project team will begin compiling all the information for completing Deliverable 3 during the remaining weeks in November.

 

 

Tasks to be Accomplished the week beginning November 15, 2004

1.       Issue the November 15, meeting minutes

2.       Discuss methodology for conducting records sampling with A. Keefe and D. Mueller

3.       Complete Information Technology and  Records Management Interviews  on Tuesday, November 16th

4.       Schedule Pilot Business Unit interviews for week of December 6th.

5.       Submit Interview Matrix Template for identifying gaps and activities within the IT and RM departments within the five UNPOs from the completed questionnaires for Dhurjati Mueller’s review.

6.       Develop a report on the technical characteristics of the current core UNPOs information systems, current data bases, technical platforms and initiatives related to digital records in accordance with Deliverable 3.

7.       Commence compiling data for completing Deliverable 3 by end of November.

·          Action Items for the UN project team:

o         Required:  Scheduling of Business Unit interviews for December 7th, 8th, and 9th.

o         Discuss requirement for Reporting on Record Sampling and analysis of current conditions which supports, or prohibits, the identification, accessibility and preservation of digital records of long term value.

·          Refer to the project task completion report for performance to date percentages.
